Job Description

Boka Catering Group is seeking a Catering Events Manager to join our growing Catering team.

Boka Catering Group provides the ultimate catering experience for any event desiring premiere restaurant-quality service and cuisine in even the most demanding locations, from intimate in-home dinner parties to personalized weddings and extravagant corporate events.

Responsibilities

  • Specific Tasks: As the Boka Catering Events Manager, you will be responsible for:
  • Overseeing the production and execution of Boka Catering events.
  • Creating the BEO’s for each event in coordination with the Sales team, ensuring all details from the proposals are captured in the BEO.
  • Coordinating all details that go into the execution of event, including van plans, supplies orders, creating signage, executing floor plans, beverage needs, etc.
  • Assisting with coordinating supplies and logistics for the event with other Catering Managers, including the culinary team. Driving the catering van when necessary.
  • Running all tastings, including coordinating rentals, beverage, and staff for tastings, setting up the tastings, leading wine and food service at the tastings, breaking down the tastings at the end of the service.
  • Assisting with staffing events, including creating a staff plan for each event (with approval from the Sales team), corresponding with employees, arranging for on-calls for each event, sending them event details, checking them in/out at events, and entering all staff hours for payment processing.
  • Overseeing the staff at events, making sure event load-in, venue setup, rental distribution, food running, beverage service, event maintenance and event flow are executed smoothly and accurately with a heightened service standard.
  • Maintaining a positive relationship with all Venue
  • Managers by becoming familiar with and adhering to all venue guidelines. Making sure all Catering Managers and support staff have the Venue Details for each event.
  • Working with other catering managers to internally troubleshoot any issues that arise and work on building systems to eliminate the same problems from repeating in the future.
  • Overseeing the Beverage Program for Boka Catering, ordering all products, conducting monthly beverage inventory, fine-tuning beverage pars for each event, doing an ending inventory at each event to track consumption by event, maintaining organization of beverage storage, working on fine tuning beverage costing based on cost analysis, and assisting with strategic selection of beverage list items.
  • Carefully studying all BEO’s, ensuring all event details are executed precisely and clients are ecstatic with their events. Acting as the main point of contact for the client once the Catering Sales Manager leaves, exceeding any of their expectations and requests.
  • Reviewing and generating rental orders, making sure you are familiar with the event equipment and that all items are included to be setup for success. Assisting in designing event displays where applicable.
  • Closing the events, including making sure rentals are organized for pick up, overseeing the cleaning of the venue, checking out staff, conducting inventory, doing a final venue walk through with the Venue Manager, disposing of garbage when necessary, and making sure all leftover product and supplies make it back to their necessary locations in an organized fashion.
  • Supporting the Catering Team with any tasks that need to be executed for a successful event/ service.
  • Executing Receiving Logs and Invoice submission to accounting team.
  • Temporarily assisting in other areas of Boka Restaurant Group’s Corporate Office where needed to support the team.
  • Assisting the Director of Events with tastings, by coordinating rentals and linens for the tastings, securing specialty beverage for tastings, and possibly attending tastings, when necessary.
  • Building new systems and procedures, with approval from the Executive Director, to continue to improve the growth, efficiencies, strategies, and structures of Boka Catering.
